Vacancy Announcement: Consular Assistant
The overall responsibility of this appointment is to provide translation services and technical assistance to the Mission to ensure the smooth day-to-day running of the Office.
Duties and Responsibilities:
- Advising customers on their applications for consular services and the documents they need to provide by phone, email and in person.
- Checking applications and following up with applications regarding missing documents etc.
- Preparing applications for decision by the Head of Consular Services.
- Providing assistance to Kenyan students studying in Algeria through processing the necessary documentations regarding their studies and residency.
- Coordinating with the relevant ministry on matters touching on consular and education.
- Proving advice/assistance to Kenyan citizens in difficulty in the Algeria (e.g. accident/illness/other emergency, queries regarding immigration status etc.) including conducting research on the citizens behalf and liaising with the Algerian and Kenyan authorities on the citizen’s behalf where necessary.
- Processing Diplomatic Visas, Diplomatic cards, Airport Passes and Driving License for mission staff as required.
- Maintaining excellent records on all of the above and compiling annual statistics on services & assistance provided.
- Serves as the main point of contact for any travel issues, to include arranging personnel travel, preparing travel authorizations, submitting country clearance forms, providing travel reports, and finalizing any documentation required for official travel.
- Ensuring Embassy travel advice is appropriate, accurate and up to date at all times.
- Maintaining an appropriate and up to date Embassy crisis plan.
- Occasionally providing assistance to the Embassy receptionist (answering call/queries from members of the public).
- Other duties may be assigned from time to time.
Qualifications, Skills and Experience
- Possess excellent knowledge of multiple languages: – Excellent fluency in at Least two Languages i.e. English and French. Knowledge and understanding of Arabic is an added advantage.
- Written and Verbal Communication, Understanding of Grammar, Knowledge of Specific Subjects,
- Excellent communication skills, Accuracy, Attention to Detail,
- Degree/Diploma in any relevant course
- Computer and report writing skills,
- Self Motivated,
- Ability to Meet Deadlines,
- Ability to Work Under Pressure
